About The Role
position: project and office coordinator
role: helping Kick as a company run smoothly and supporting the Kick team in various ways: managing daily office needs, assisting with small project management tasks
department/supervisor(s): Direct report: Jessica Simanton and the account service department / brand strategy director as needed
employee type/compensation: full-time, salaried, exempt

responsibilities:
• Project management and account team support:
– Assist with and participate in various projects to learn the complexities of printing and other production processes
– Managing client media (photos/video/music/VO) usage rights, and keeping account team apprised if usage rights are due so we can renew, or let client know about to expire, etc.
– Assist in developing client timetables
– Project quality assurance (proofing work, etc.)
– Assisting in competitor research and research for new business
– Coordinate with production partners during the various stages of a project to ensure an open and informative communication flow
– Performing USPTO searches, organizing results
• Kick business support:
– Partner with Digital Marketing Manager to monitor Kick social accounts, suggest content/ideas, assist in posting/scheduling
– Coordinate Kick promos (holiday card, office parties, etc.) mailings, RSVPs
– Coordinate Kick outings/parties
– Assisting with PR e-mailing lists and gathering visuals
– Submitting new work on the Dieline, Minneapolis Egotist, Packaging of the World, CA Exhibit, etc.
– Partner with Creative Director to prepare/submit award show entries
• General office support
– Monitoring, organizing and ordering office supplies
– Managing minor office repairs/calling for service help (lights, fire extinguishers etc.)
– Monitoring/managing employee birthday lists and treats
– Greeting guests, helping to establish Kick as a gracious host
– Preparing for client meetings with room set-up, catering (if necessary), tidy-up beforehand
– Distributing mail and signing for deliveries
– Managing FedEx account and helping get shipments ready
– Managing Kick mailing lists
– Manage MailChimp lists
– Handling client gifts (holiday, thank yous, celebration, sympathy, etc.)
– Manage all passwords/accounts for company (emails, stock photo accounts, etc.)
– Managing the TimeFox system including: entering expenses, server fees, outputs etc.
– Helping to ensure new Kick work is showcased in office
– Coordinating showings with art reps/photographers/paper reps

• bachelor’s degree or equivalent industry experience
• 1-2 years of agency or relevant experience

• proficient in Microsoft Word, Excel, Keynote/PowerPoint and Outlook
technical competencies required: Mac OS software, Microsoft Office, Keynote, PowerPoint
